Newsletter Migration

The purpose of this page is to provide explenations of how the migration of your website from Joomla to our platform will affect your newsletter and mailing process.

While the majority of elements have a 1 to 1 relationship between Joomla and our platform, the information of AcyMail cannot be migrated. The reason being that the newsletter templates are built in a dynamic language of HTML and Joomla tags and all of the IDs and nested information do not easily or automatically convert to our system.

We do however provide a wide variety of functionality in our platform's Newsletter system that will allow you to easily communicate with your members, event registrants, expired members and any other custom list that you would like to import.

Let us cover some of these points below to best prepare you on how to manage newsletters through our platform. Please note that we do offer full MailChimp API integration as well and if you would like to use MailChimp for your newsletters, please open a ticket with us and we will gladly connect it to your website.

Templates

The most common question when going from AcyMail to our platform is what happens to my templates? As stated above, we cannot copy them over as the systems are far too different in the way that the operate on a technology level. It is, however, very easy to create new templates using our platform as shown in this video:

Lists

With our platform, you get many automated lists that are created for you and maintained automatically by the system. For example the member list is updated every night at midnight while we do the data sync with PMI global.

You can also create lists manually from CSV files or you can request that we migrate over the lists that you have manually created in AcyMail. We will be happy to assist you with this. If you'd like to import a CSV file as a mailing list, click on the "Lists" tab when you are in the "Manage Newsletter" portion and you can use the "Import CSV" button in order to import a list. Make sure that the colums match this format in your file: pmi number, email, first name and last name.

Sending out an Email

When using our platform, to send out an email, you must use the "Campaigns" tab under "Manager Newsletter". When creating a campaign, you send out a message that you put in one of your templates to a specific list of users or people attending an event. Campaigns can be sent right away or scheduled at a specific time. Unlike in AcyMail, you cannot send to multiple lists at once, you must choose one list that you wish to send it to. You can also view campaign statistics by clicking on the stats-icon.png icon. It is important to note that the history of your sent newsletters and emails from AcyMail will not be migrated over. We recommend that you backup or export a PDF version of any email that you would like to keep as a record.

Note that if you have a newsletter page on your website that shows the list of past newsletters, we can copy the last 12 months manually for you in order to display that history on the website, however, anything beyond that point will not be transfered over by our content migration team. You can make a backup of these and we can assist you in creating a backup if you'd like.

Reminders and Automated Emails

There are two portions to the automation of emails. The first is the automated email reminders, this is a free feature that can be enabled for your website. You can request it by opening a ticket with us. With this option, when you are logged in and have access to modify events, you can click on an event from your calender and choose the mailing icon:

Once there, you can create a reminder for that event that will be sent out automatically at the interval of your choosing. You can also have the list of participants automatically emailed to yourself and/or other people on your board. You can also provide us with an email address (or list of addresses) that you would like to receive a notification on, everytime someone registers for an event on the website.

There are also automated reminders for new members, members who's membership is about to expire, members who renewed their membership, etc. We have detailed instructions on how these reminders work, you can click here to view them.
